Summer Scheme T's & C's

Introduction

Thank you for choosing You2Me Group (“the Company”). We are committed to creating a safe, supportive, and fun

environment for children at our Summer Scheme events. These Terms and Conditions form a binding agreement between you (the parent/legal guardian) and us upon booking a place for your child in our Summer Scheme

Booking Fees & Refunds

  • All bookings must be made through our website and are subject to confirmation.

  • Payment in full is required at the time of booking unless otherwise agreed in writing.

  • Bookings are non-refundable except in the event that we cancel a session.

  • Cancellations by you with less than 48 hours’ notice will not be eligible for a refund or credit.

  • We reserve the right to refuse any booking if the scheme is at full capacity or if, in our view, we cannot adequately meet a child’s needs.

  • Bookings cancelled more than 2 weeks in advance will be eligible for a 50% refund.

Child Eligibility

  • The Summer Scheme is open to children aged 3 to 16 years.

  • By enrolling your child, you confirm that they are of the appropriate age and do not require support beyond what is reasonable for our staff to provide in a group environment.

Parental Responsibility & Escorting

  • A parent or nominated adult (18+) must escort the child into and out of the premises each day.

  • Children must not be left at the gate or car park unattended under any circumstances.

  • At collection, your child will only be released to individuals listed on the Authorised Collection Form completed during registration.

  • If someone else will collect your child, we require prior written consent and identification.

  • Late pick-up (beyond the agreed end time) will result in a charge of £5 per 15-minute interval and may lead to withdrawal from the programme.

  • Please do not wait in a visible location to the child before you intend to pick them up as this can cause distress. Waiting in sight will assume parental responsibility at this time.

Medical Information & Emergency Care

  • You must disclose all relevant medical information, including allergies, medications, dietary requirements, and health concerns, in the Medical & Consent Form at registration.

  • You authorise us to administer first aid and seek emergency medical treatment if necessary. In such cases, we will contact you using the emergency details provided.

  • If your child is ill, including signs of contagious illness (e.g. fever, vomiting, diarrhoea, rash), they must not attend. We reserve the right to refuse entry to unwell children.

Medication

  • Medication will only be administered with your written consent and in accordance with a completed Medication Permission Form.

  • All medication must be clearly labelled with the child's name and dosage instructions and handed directly to a staff member.

Behaviour & Conduct

  • We expect all children to behave respectfully and follow instructions.

  • If a child's behaviour poses a risk to themselves or others, we may contact you for immediate collection.

  • We reserve the right to withdraw a child from the scheme without refund if behaviour persists despite intervention.

Personal Belongings

  • Children should not bring valuable items, money, electronics, or toys to the scheme.

  • We accept no liability for any lost, stolen, or damaged belongings.

Photographs, Video & Public Consent

  • We occasionally take photographs or video recordings of activities for use in promotional materials, social media, or internal records.

  • We require a signed, written consent form from the parent/guardian before any media featuring a child is taken or used.

  • Consent is entirely optional and can be withdrawn at any time in writing.

  • No identifying information (e.g. name, school, address) will be used alongside images unless you provide explicit consent.

Liability

  • All personal data provided to us will be processed and stored in accordance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

  • Information will only be shared with third parties when necessary for the safety of the child or as required by law. You have the right to access and correct your child's personal data at any time.

Cancellations & Changes

  • We reserve the right to cancel or reschedule sessions due to low enrolment, staff absence, or unforeseen circumstances (e.g. weather, emergencies).

  • In such cases, you will be offered a refund or alternative session.

  • We will notify you as soon as possible using your provided contact information.

Complaints

  • While all reasonable care is taken to ensure the safety of children during activities, You2Me Play accepts no liability for injuries, losses, or damages unless caused by our proven negligence.

  • You accept that there is inherent risk in group activities involving children, and by enrolling, you accept this reasonable level of risk.

Safeguarding

  • We are committed to the protection and welfare of all children and operate in accordance with our Safeguarding Policy, available upon request.

  • Any safeguarding concerns will be acted upon in line with our legal duty to report.
